Privacy and security
How ScholarVoya protects accounts and documents, who can see your data, and the controls you have.
Last updated: October 19, 2026
In short
Your profile and your documents are yours. They go to an institution only when you apply to it, and to an agency, a school or a family member only when you agree. The full details are in our privacy policy.
Protecting your account
- Passwords are stored only as a secure hash: nobody at ScholarVoya can read yours.
- Two-step verification with an authenticator app, on every account, with recovery codes in case you lose your phone.
- An email when your account is used on a new device, and a list of your devices in Account → Security, where you can sign any of them out.
- Limits on repeated sign-in attempts.
- Checks for unusual use of accounts, such as many failed sign-ins. A person at ScholarVoya looks at each alert; nothing is blocked automatically.
Protecting your documents
- Everything you send and receive travels over encrypted connections (HTTPS).
- Uploaded files are kept in private storage and opened through links that stop working after a few minutes.
- Files are scanned for viruses when they are uploaded.
- Documents are checked for signs of editing and for copies on other accounts. These checks only alert our staff: they never reject a document on their own.
Who can see what
- ScholarVoya staff see only what their role needs, and what they do is recorded in an audit log.
- An institution sees the applications sent to it, with the documents attached to them.
- An agency sees your profile only with your agreement.
- A school sees its own students' career guidance; a parent or sponsor sees only the areas you chose.
- Staff notes and risk alerts are never shown to students, agencies or institutions.
Your controls
- Choose who you share your profile with, and change your mind at any time, in Account → Privacy.
- Choose which notifications also reach you by email. Messages on WhatsApp are sent only if you ask for them.
- Download a copy of your data, or ask us to delete your account, from Account.
AI and your data
AI features use your profile and your questions to answer you, and read the documents you upload to check them. AI never decides an admission, a visa or a scholarship. How it uses your data, and what our provider does with it, is described in the privacy policy.
If you think your account was used by someone else
Change your password, sign your other devices out in Account → Security, and tell us through Help & support.
